How do I 'Sign Up'?

Click on the New User? Sign up Now link button

Section 1 - Choose to be a Supplier

Section 2 - Complete all fields. Fields marked with an asterisk must be completed to proceed.

Tick the 'I accept SourcingMachine Terms & Conditions' box.

Click Sign Up

An email will be sent to you to confirm that you have signed up and that your application is being verified by SourcingMachine.

SourcingMachine will have to authorise your application before you have full access to SourcingMachine (this may take up to 2 hours so please bear with us but normally it is very quick.

How do I 'Log in'?

Please type in your email address and Password into the LOG IN area. (you will find this situated at the top left hand side of the Home Page). This box disappears when you have logged in successfully.

What is the 'Supplier Profiles' button along the top blue bar for?

The Supplier Profiles section contains the contact details of all the Suppliers on SourcingMachine.

You can search for a Supplier's profile by typing the name of the Supplier that you are looking for into the Search Profile field (then clicking search).

Each Suppliers Profile is displayed with their logo and the following information:
  • Company Name
  • Brief Description about their business
  • Telephone Number
  • Location (country)
And link buttons to the following:
  • View Profile
  • Send an Email
  • View Products
  • View Website
What is the 'Latest Industry News' button along the top blue bar for?

Suppliers have access to post your latest news stories about your businesses in 'Latest Industry News'.

Next to each heading is a record of the number of stories that have been posted (under the Topics heading) and to the right of this the last story that has been posted (including the time and date).

By clicking on the time and date next to a post the story then opens up. This can be text and/or a product image that a Supplier has uploaded about their Company.

Adding a New Piece of News

A Supplier (with a Company Profile) has access to be able to add News whenever they like themselves. If you are a sSupplier with a Company Profile you will be able to see an 'Add a new topic here' button. Click this and the option to 'Write your message and submit' will become available to fill in. Once you have completed this and uploaded your file click Submit to publish the news story to the 'live' website.

Latest industry news is also scrolled on the Home Page (bottom right hand side)

What are 'Video Demonstrations'?

Videos are presented in alphabetical order on the Video Demonstrations page. You can also search for videos by name, category and/or Company.

By clicking on the 'Play Video' button or the video image the video will open up ready to play.

Once open the Supplier's logo and contact details will show on the left hand side and the video will be in the centre of the page (click play to start the video).

Below each video there is a brief description about the video and there are also buttons that you can click on to either view the Supplier's 'Company Profile' (the Supplier must have a company Profile to have their video added) or order a catalogue from them.

Our Suppliers can feature any industry related video they like; please email us the link or file and we will upload this for you.

What are 'Tutorials'?

Video tutorials are there to help you work the functions of the SourcingMachine website.

You can search for videos by name, or category. Each video opens up and starts playing when the image or Play Video button is clicked on.

What is 'Supplier Advertising' about?

This page contains a full list of the services that SourcingMachine offers including our special 'Marketing Packs'.

SourcingMachine Product Search
How does 'Quick Search Products' work?

This is the main product search area and includes the following search options:

Product Name / Code - An area that a Distributor can type in the product name or (if they know it) the product Supplier code or the unique SM code that SourcingMachine creates for each product.

Keyword – An area that a Distributor can type any word that might be contained within the products description.

Price Range from - A drop down box will open to reveal the 'Price Range from' options.

Main Colour - Lists all the colours that Suppliers have uploaded when uploading their products.

Product Finder - This function allows a Distributor to select the type of product that they are looking for and then when they send out an enquiry this asks all Suppliers who have confirmed that they supply that product if they supply the specific product that the Distributor is looking for. The Distributor must complete the following steps.

a) Select the type of product

b) Complete the Product Description, Quantity Required, Budget & Required by fields (and upload photo if available)

c) Click 'Send Product Enquiry' and an email will go out to all Suppliers who have confirmed that they supply the type of product that the Distributor is looking for… Hopefully a Supplier will then reply to them that they do supply that specific product.

Category Search - A list of categories common within the Promotional Merchandise industry.

Suppliers - A full list of all Suppliers presented in alphabetical order, if you have an active Company Profile then your company name will be in this list.

Price Range to - A drop down box will open to reveal the 'Price Range to' options.

Product Groups - A list of Product Groups common within the Promotional Merchandise industry.

A Distributor types in their search term into any of the available fields or chooses any of the options from the drop down boxes and then clicks the Search button to bring up the relevant results.

Products Search Results are ordered as follows -

1st - Catalogue Group products (the User must be a confirmed member of a catalogue group

2nd– Enhanced Products (sponsored products)

3rd – Products with accurate pricing (starting with the best priced first)

4th – Products with no pricing information (we encourage all Suppliers to add pricing to their products to get these up the search results; please contact us if you would like help adding your prices to your featured products).

How does 'Quick Search Ideas' work?

Often a Customer will call a Distributor and ask them for Ideas based around a theme or event. Quick Search Ideas deals with this in 3 main categories, as follows:

Product Ideas: A list of Common products that might be asked for. A Distributor will click on a product and all the different options for that product type will appear for the User to choose from.

Themed Ideas: A list of common themes that a Distributor's client might ask for a promotional merchandise item for. Click on a theme and a list of related products will appear for them to choose from.

Industry ideas: A list of Industries that your Distributors' Customers might be involved in. Click on one of the Industries and a list of related products will appear for them to choose from.

How does 'Quick Search Services' work?

In this section you can search Suppliers who supply a service to the Promotional Merchandise industry.

Featured in this list is a wide range of different services and clicking on an option will bring up all the Suppliers who have confirmed in their Company Profiles that they supply that specific service. If you would like us to add a service that you supply then please call us and we will add this for you to the list.

Once a service has been selected then the Distributor clicks 'Go' to bring up the results.

Suppliers can select the services that they want to promote here by selecting them for a list in their 'My Company Profile'

How are 'Product Results' displayed?

After a Distributor searches for a product, the Search Results page will scroll down slightly and the results will appear.

Products Search Results are ordered as follows -

1st - Catalogue Group products (the User must be a confirmed member of a catalogue group

2nd – Enhanced Products - these are sponsored products and you can add one or more of your products here – see My Enhanced Products section in your Dashboard)

3rd – Products with accurate pricing (starting with the best priced first)

4th – Products with no pricing information (we encourage all Suppliers to add pricing to their products to get these up the search results; please contact us if you would like help adding your prices to your featured products).

At the top of the search results it confirms the number of products that have been found that relate to that search. Below that are 4 options:

Add first 40 results to Ideas Sheet

Add first 40 results to E-Catalogues

Add first 40 results to Quote Sheet

Add first 40 results to E-Flyer

By clicking any of these the top 40 products are automatically added into the relevant basket (situated to the left hand side of the product results).

Product results appear in rows of 2 and a Distributor can select to view 26, 50 , 76 or 100 results per page by clicking the drop down field on the right hand side of the Search Results bar.

Click on Supplier info and the Suppliers details will appear.

Click on the Blue Product Name to open the main window for that product.

Main Product Window – The Supplier information is included below the Product name, click on this to go to the Suppliers Profile.

This section also contains the following:

End User Price: - This takes the 3rd price down on the products price breaks and then adds the margin that has been specified in the Distributor's 'My Profile' section, then compares the result of this with the list of Price Ranges and then displays the Price Range that this fits into.

Reference – the Supplier's product code for this product.

SM Code- the unique code assigned to the product by SourcingMachine.

Product Description – the product description

Available Colours – the colour options that the product is available in.

How does the 'Virtual Samples' function work?

In the Product Layout section (and below each product on the results page too) is the option to Create a Virtual Sample. Click this and the selected product will open up in SourcingMachine's virtual sample studio.

In this function a logo can be erased from a product then a new logo can be added to a product and manipulated into place with the following functions:

Skew -

Rotate -

Resize -

Wrap -

Cylindrical Wrap -

Tilt -

Mask -

Colour -

Logo effects can also be added (make the logo black or all white, give it an engraved or embossed effect. Make it look like it has been screen printed, etched, gold stamped or embroidered).

Text can also be added and positioned.

Basic instructions can be found by clicking the red question mark but if you think that you need more help, please call us and we will guide you through this process.

Once a Distributor's Customer's logo has been added to the product then this can either be saved on to the Distributor's computer or emailed straight to their Customer from the Virtual Sample function.

What does my Dashboard contain?

The Dashboard Contains the details of your Profile (and for a Supplier their 'Company Profile' too). For Suppliers this area also contains your Company information and your product range too (for Suppliers with 'Company Profiles').

What is 'My Profile'?

Click on the My Profile link in the Dashboard.

This section contains all the information about you:

Company logo

Name

Address

Telephone

Email

Website

Trade Association membership

Password

After you have changed anything you must click 'Save' and you will then be asked to re-input your password.

How do I create a Company Profile for my business?

To create a Company Profile you need click 'My Company Profile' on your Supplier's Dashboard

Click 'Create Company Profile to start making your payment and you will then be redirected to our online payment processing system to complete your payment.

You will them need to enter your payment details (card type, debit / credit card number / valid from date / expiry date / security code) customer name and address and clicks 'Submit'.

Check all the details and price then click 'Submit'. You will then be back to the My Company Profile page where they will now have full access to your new fully functioning Company Profile.

You then need to complete all the fields. You should then fill in the blanks and all other sections on the 'My Company Profile' page.

How do I renew my 'Company Profile' for my business?

A message will be sent to you 5 times to remind you that your Company Profile is about to expire. If it does expire without you renewing your Supplier's details will be held on SourcingMachine for a short period of time after and can be retrieved. You will lose access to your Company Profile when it does expire though.

Sourcingmachine will receive a notice about the Suppliers whose Company Profiles are about to expire so that if necessary SourcingMachine can renew the Supplier for them or Contact the Supplier.

To Renew a Company Profile you must do the following –

Login to your SourcingMachine

Click 'My Company Profile', Then click renew company profile for the amount due. You will then be redirected to our online payment processing system to complete your payment.

Enter the credit card details (card type, debit / credit card number / valid from date / expiry date / security code) name and address. Click Submit.

Check all the details and price. Click Submit.

You will then be back to the 'My Company Profile' page and your Company Profile will have renewed for another 12 months.

What is included in 'My Company Profile'?

Click on 'My Company Profile' on your Dashboard to edit or add the following information about your business:

Company Details – Upload your company logo and company information plus a description of your business and membership of any trade organisation.

Services Provided – Click the boxes that relate to the services that you provide. These can then be searched in 'Quick Search Services'. If you need any services added to this list then please call us.

Reports – You have the ability to turn on or off your daily product click reports. Select the frequency of the reports and who they need to be cc'd to.

Add a Product, Trade Pricing & Quantity Breaks - Click on the blue 'Product Trading Price Information'. There are 2 sections depending on whether you are uploading a new price list or an existing price list.

Existing Products – 1. Select Currency, download the existing product information held in the .XLS 2. To Upload the completed spread sheet select the unit price, the currency, then upload the .XLS file.

New Products - 1. Select Currency, Choose the style of .XLS Spread sheet you want to complete with product information. 2. To Upload the completed spread sheet select the unit price, the currency, then upload the .XLS file.

Upload Product Images - Bulk Image Import allows you to upload many images all in one go. You can select the files or Select to upload from a ZIP file.

Included in this section is a 'View Your Product Catalogue' link. If you wish to upload or edit products individually then click here to show your product results, select the product that you wish to change and then click 'Edit' below the product image.

Delete All Products – Click the blue button. Make sure you want to delete all products, click Submit or Cancel.

Company Images –You can upload pictures of your office and/or factory to give Distributors a better idea of what the everything looks like.

Product Finder – Click the blue button, tick the 'Supplier types' that relate to the products that you supply. Click 'Save'. Results for this will appear in Product Finder on the Quick Search Products section.

Price List – You have the option to upload a .PDF of their Price List.

Catalogue - You have the option to upload a .PDF of your Product Catalogue.

How does 'My Product Catalogue' work?

Click on My Product Catalogue on your Dashboard to view and edit your products (individually).

Edit – This section allows you to change any of your product details and also to add colour variants of the product too. Trade Pricing can only be edited in the .XLS spread sheets. Click Update Product to save all changes made.

Delete – to Delete the product.

Total Views – Shows you the number of views (clicks) that each product has had since it has been on SourcingMachine. This also confirms how many views (clicks) were down to the 'Enhanced' upgrade feature.

Enhance Now - This function allows you to get your products to the top of the Distributor search results by paying to have them enhanced. Select the product that requires enhancing, Add the keywords or phrases that will push your product to the top search terms when typed in to the Product Name / Code search field and the time period that you want the Products enhanced for.

Click the 'Add to Basket' button and if you are happy with your Enhanced Product order then click 'Pay Now' to proceed to the payment check out. Once these have been paid for they will appear at the top of the search results when the keyword or phrase has been typed in (in a yellow highlighted frame).

How do 'My Enhanced Products' work?

Click on My Enhanced Products on your Dashboard to view a list of Products that you have enhanced and the status of these.

A product can also be added to the list of enhanced products in this section by using the following method: Select the product that requires enhancing, Add the keywords or phrases that will push your product to the top search terms when typed in to the Product Name / Code search field and the time period that you want the Products enhanced for.

Click the 'Add to Basket' button and if you are happy with your Enhanced Product order then click 'Pay Now' to proceed to the payment check out. Once these have been paid for they will appear at the top of the search results when the keyword or phrase has been typed in (in a yellow highlighted frame).

What is 'Statistics' about?

Click on Statistics on your Dashboard to view the clicks that each of your products have received and also product clicks about products across the whole Industry.

How do I 'Add a Product' (& Product Images) individually?

We would encourage ALL products to be input using the .XLS spread sheet function but if you want to upload the odd product quickly then they can use the 'Add a Product' section on your Dashboard.

Click on Add a Product then complete the fields with as much product information as possible and add the image (s) of the product too, (uploading pricing must be completed using the .XLS spread sheet function).

What is 'Log Out'?

Click this button if you wish to log out of SourcingMachine at any time.

Click on Add a Product then complete the fields with as much product information as possible and add the image (s) of the product too, (uploading pricing must be completed using the .XLS spread sheet function).

What is 'Latest Products'?

Positioned at the bottom right hand side of the Home Page this box shows the six latest products to be uploaded onto your SourcingMachine.

What is 'Popular Products'?

Positioned at the bottom right hand side of the Home Page click on the tab marked Popular Products and this box shows the six most clicked on products in your SourcingMachine product database.

What are 'Mobile Applications'?

SourcingMachine offer Distributors Apps which you can use when out of the office; there is also an unbranded mode which takes off the SourcingMachine branding and 'Supplier Details' button so that they can even take this into a meeting with their client if they like.

The Apps are available for iPhone, iPad, Android Phone and Android Tablet.

The Apps have the following features:

Secure log in – Distributors will need to use their SourcingMachine log-in details to access the Apps.

Unbranded Mode – If they select this mode then SourcingMachine branding and Supplier Details buttons next to each product are taken of. This is useful when a Distributor takes the App into client meetings.

Product Search – The Distributor will search through the live SourcingMachine product database and advanced search is accessible by clicking on the down arrow next to the search field. This broadens the search out to Product Groups, Supplier, Category and Price Range.

Once a product is selected the Distributor can view the Suppliers' details, add this to a basket which they can then send off to their Customer with a message (a copy of this email message will be sent to the Distributor too). There is also included a function where the Distributor can request that the Supplier sends them a quote too

Supplier – Suppliers details can be searched for on the App.

News – All the Latest Industry News appears live on the App.

Mobile Apps are only accessible to Distributors.

What is the 'Affordable Search Engine Optimisation' page all about?

WebBuilder websites (PLUS & PRO) are fully search engine optimised. To make the most of this SourcingMachine has teamed up with a professional SEO Company to offer our WebBuilder Customers the added option of an SEO Package for their WebBuilder website to push their website up the search results.

What is the 'Create Virtual Samples & add this Function to your Own Website' page all about?

Next to each product there is a 'Create Virtual Sample' button. Click on this button and the product will open on a new page which will allow you to delete an existing logo on the product and to add a new logo to that product, you will then be able to save this or will be able to send this by email.

It is possible to add this functionality to your own websites (this function comes as standard with all our WebBuilder websites).
