What is the 'Supplier Profiles' button along the top blue bar for?

The Supplier Profiles section contains the contact details of all the Suppliers on SourcingMachine.

You can search for a Supplier's profile by typing the name of the Supplier that you are looking for into the Search Profile field (then clicking search).

Each Suppliers Profile is displayed with their logo and the following information:
  • Company Name
  • Brief Description about their business
  • Telephone Number
  • Location (country)
And link buttons to the following:
  • View Profile
  • Send an Email
  • View Products
  • View Website
What is the 'Latest Industry News' button along the top blue bar for?

Suppliers have access to post their latest news stories about their businesses in Latest Industry News.

Next to each heading is a record of the number of stories that have been posted (under the Topics heading) and to the right of this the last story that has been posted (including the time and date).

By clicking on the time and date next to a post the story then opens up. This can be text and/or a product image that the Supplier has uploaded about their Company.

What are 'Video Demonstrations'?

Videos are presented in alphabetical order on the Video Demonstrations page. You can also search for videos by name, category and/or Company.

By clicking on the 'Play Video' button or the video image the video will open up ready to play.

Once open the Supplier's logo and contact details will show on the left hand side and the video will be in the centre of the page (click play to start the video).

Below each video there is a brief description about the video and there are also buttons that the you can click on to either view the Supplier's Company Profile or order a catalogue from them.

What are 'Tutorials'?

Video tutorials are there to help you work the functions of the SourcingMachine website.

You can search for videos by name, or category. Each video opens up and starts playing when the image or Play Video button is clicked on.

What does my 'Dashboard' do?

The Dashboard Contains your Profile details that the Suppliers see when you make contact with them. It is also where you can control your Company's WebBuilder website from and where your Ideas sheets, quote sheets, e-catalogues and e-flyers are archived.

How does 'Quick Search Products' work?

This is the main product search area and includes the following search options:

Product Name / Code - Type in the product name or (if you know it) the product Supplier code or the unique SM code that SourcingMachine creates for each product.

Keyword – Type any word that you think might be contained within the products description.

Price Range from - A drop down box will open to reveal the 'Price Range from' options.

Main Colour - Lists all the colours that Suppliers have uploaded when uploading their products.

Product Finder - This function allows you to select the type of product that you are looking for and then when you send out your enquiry is asks all Suppliers who have confirmed that they supply that product if they supply the specific product that you are looking for.

a) Select the type of product

b) Complete the Product Description, Quantity Required, Budget & Required by fields (and upload photo if available)

c) Click 'Send Product Enquiry' and an email will go out to all Suppliers who have confirmed that they supply the type of product that you are looking for… Hopefully a Supplier will then reply to you that they do supply that specific product.

Category Search - A list of categories common within the Promotional merchandise industry.

Suppliers - A full list of all Suppliers presented in alphabetical order.

Price Range to - A drop down box will open to reveal the 'Price Range to' options.

Product Groups - A list of Product Groups common within the Promotional merchandise industry.

Type in your search term into any of the available fields or choose any of the options from the drop down boxes and then click the Search button to bring up the relevant results.

Products Search Results are ordered as follows -

1st - Catalogue Group products (the User must be a confirmed member of a catalogue group – call us if you are a Catalogue group member to take advantage of this great function)

2nd - Enhanced Products (sponsored products)

3rd - Products with accurate pricing (starting with the best priced first)

4th - Products with no pricing information (we encourage all Suppliers to add pricing to their products; please mention this to any Suppliers who have not added their prices yet).

How does 'Quick Search Ideas' work?

Often a Customer will call a Distributor and ask them for Ideas based around a theme or event. Quick Search Ideas deals with this in 3 main categories, as follows:

Product Ideas: A list of Common products that your Customer might ask for. Click on a product and all the different options for that product type will appear for the User to choose from.

Themed Ideas: A list of common themes that your Customer might ask for a promotional merchandise item for. Click on a theme and a list of related products will appear for you to choose from.

Industry ideas: A list of Industries that your Customer might be involved in. Click on one of the Industries and a list of related products will appear for you to choose from.

How does 'Quick Search Services' work?

In this section you can search Suppliers who supply a service to the Promotional Merchandise industry.

Featured in this list is a wide range of different services and clicking on an option will bring up all the Suppliers who have confirmed in their Company Profiles that they supply that specific service.

Once a service has been selected then click 'Go' to bring up the results.

How are each of the product results displayed?

After searching for a product, the Search Results page will scroll down slightly and the results will appear.

Products Search Results are ordered as follows -

1st - Catalogue Group products (the User must be a confirmed member of a catalogue group – call us if you are a Catalogue group member to take advantage of this great function)

2nd - Enhanced Products (sponsored products)

3rd - Products with accurate pricing (starting with the best priced first)

4th - Products with no pricing information (we encourage all Suppliers to add pricing to their products; please mention this to any Suppliers who have not added their prices yet).

At the top of the search results it confirms the number of products that have been found that relate to that search. Below that are 4 options:

Add first 40 results to Ideas Sheet

Add first 40 results to E-Catalogues

Add first 40 results to Quote Sheet

Add first 40 results to E-Flyer

By clicking any of these the top 40 products are automatically added into the relevant basket.

Product results appear in rows of 2 and you can select to view 26, 50 , 76 or 100 results per page by clicking the drop down field on the right hand side of the Search Results bar.

Click on Supplier info and the Suppliers details will appear.

Click on the Blue Product Name to open the main window for that product.

Main Product Window – The Supplier information is included below the Product name, click on this to go to the Suppliers Profile.

This section also contains the following:

End User Price: - This takes the 3rd price down on the products price breaks and then adds the margin that you have specified in your 'My Profile' section, then compares the result of this with the list of Price Ranges and then displays the Price Range that this fits into.

Reference – the Supplier's product code for this product.

SM Code- the unique code assigned to the product by SourcingMachine.

Product Description – the product description

Available Colours – the colour options that the product is available in.

What is 'Trade Pricing'?

If the Supplier has uploaded product pricing for their products on SourcingMachine pricing will appear in this section. The amount of information featured in this section will depend on how much information the Supplier has added to their price list.

If you are not happy with the pricing or would like the prices updated then there is a button for you to click which will email the Supplier a note asking them to check their prices. The date that the prices were last updated is also shown in this section.

What is the 'Get a Quote' function?

Scroll down to the bottom of the Product Layout (below Trade Pricing) and click on the text or down arrow on the green bar and the box will fall open. Complete the form and click 'Get a Quote'. A request for a quote will be sent to the Supplier with your name and Company details.

You can also request a Catalogue or a Price List at the same time.

What is the 'Request a Sample' function?

Scroll down to the bottom of the Product Layout (below Get a Quote) and click on the text or down arrow on the green bar and the box will fall open. Select the colour you would like and when the sample is required by and click 'Request a Sample'. A request for a sample will be sent to the Supplier with your name and Company details.

You can also request a Catalogue or a Price List at the same time.

How does the 'Virtual Samples' function work?

In the Product Layout section (and below each product on the results page too) is the option to Create a Virtual Sample. Click this and the selected product will open up in SourcingMachine's virtual sample studio.

In this function a logo can be erased from a product then a new logo can be added to a product and manipulated into place with the following functions:

Skew -
Rotate -
Resize -
Wrap -
Cylindrical Wrap -
Tilt -
Mask -
Colour -

Logo effects can also be added (make the logo black or all white, give it an engraved or embossed effect. Make it look like it has been screen printed, etched, gold stamped or embroidered).

Text can also be added and positioned.

Basic instructions can be found by clicking the red question mark but if you think that you need more help, please call us and we will guide you through this process.

Once your Customer's logo has been added to the product then this can either be saved on to your computer or emailed straight to your Customer from the Virtual Sample function.

What is 'Latest Products'?

Positioned at the bottom right hand side of the Home Page this box shows the six latest products to be uploaded onto your SourcingMachine.

What is 'Popular Products'?

Positioned at the bottom right hand side of the Home Page click on the tab marked Popular Products and this box shows the six most clicked on products in your SourcingMachine product database.

What are 'Mobile Applications'?

SourcingMachine offer Distributors Apps which you can use when out of the office; there is also an unbranded mode which takes off the SourcingMachine branding and 'Supplier Details' button so that you can even take this into a meeting with your client if you like.

The Apps are available for iPhone, iPad, Android Phone and Android Tablet.

Apps have the following features:

Secure log in – Distributors will need to use their SourcingMachine log-in details to access the Apps.

Unbranded Mode – If the you select this mode then SourcingMachine branding and Supplier Details buttons next to each product are taken of. This is useful when taking the App into client meetings.

Product Search – You will search through the live SourcingMachine product database and advanced search is accessible by clicking on the down arrow next to the search field. This broadens the search out to Product Groups, Supplier, Category and Price Range.

Once a product is selected you can view the Suppliers details, add this to a basket which you can then send off to your Customer with a message (a copy of this email message will be sent to you too). There is also included a function where you can request that the Supplier sends you a quote too

Supplier – Suppliers details can be searched for on the App.

News – All the Latest Industry News appears live on the App.

Mobile Apps are only accessible to Distributors.

What is the 'Affordable Search Engine Optimisation' page all about?

WebBuilder websites (PLUS & PRO) are fully search engine optimised. To make the most of this SourcingMachine has teamed up with a professional SEO Company to offer our WebBuilder Customers the added option of an SEO Package for their WebBuilder website to push their website up the search results.

We offer 3 packages and once you have chosen one, we will introduce you to our professional SEO Partner Company and they will take you on from there.

What is the 'Create Virtual Samples & add this Function to your Own Website' page all about?

Next to each product there is a 'Create Virtual Sample' button. Click on this button and the product will open on a new page which will allow you to delete an existing logo on the product and to add a new logo to that product, you will then be able to save this or will be able to send this by email.

It is possible to add this functionality to your own websites (this function comes as standard with all our WebBuilder websites). If you would like this function on your own company website then please call for more details. How do I 'Sign Up' as a Distributor / Reseller?

Click on the New User? Sign up Now link button

Section 1 - Choose to be a Distributor / Reseller

Section 2 - Complete all fields. Fields marked with an asterisk must be completed to proceed (User must also upload their Company logo at this point too).

Trade Pricing Margin Setting – You can choose any margin to set your end-user prices by. When a Client enquires about a product that they are looking for they will mention their budget. This will be an End-User price. SourcingMachine will search the product database for products within the budget if selected and changing this margin (or not having any margin set) will alter the search results that SourcingMachine brings up for you

Tick the 'I accept SourcingMachine Terms & Conditions' box.

Finally, click 'Sign Up'.

An email will be sent to you to confirm that you have signed up and that your application is being verified by SourcingMachine (we need to check that you are a real company working within our Industry). This process is often very quick but please bear with us if you sign up over the weekend or at night.

How do I 'Log in'?

Type in your email address and Password into the LOG IN area. (top left hand side of the Home Page). This box disappears when you have successfully logged.

What does the 'My Profile' section contain?

Click on the 'My Profile' link in your Dashboard

This section contains all the information about you that a Supplier will see:

  • Company logo
  • Name
  • Address
  • Telephone
  • Email
  • Website
  • Trade Association membership

Mark-up -This can be set by you to the level that you choose and effects the End-User prices that you will see on SourcingMachine and that your clients who look at your WebBuilder website will see too.

Password After you have changed anything on your profile you must click 'Save' and you will then be asked to re-input your password.

What are 'My Ideas Sheets'

This section contains all the saved Ideas Sheets that you will have created.

The last Idea Sheet that you have created is at the top.

From here you are able to View the products of each Idea Sheet, Email the Idea Sheet and Delete the Idea Sheet.

Once all products have been added into the basket then you can click the 'Complete Now' button below the basket. You will then be given the option to add the products selected into an existing Idea Sheet or to create a new one. You must then name this (adding a description below is optional).

Then click the 'Save Idea Sheet' button.

The Idea Sheet will then appear at the top of the list of Idea Sheets.

To send this to your Customer, click 'Email Idea Sheet' and complete the Recipients details and follow up date. At this point all product information can be edited too (the Save Changes button must be clicked on after each product is edited). All pricing information (only appears if the Supplier has added prices to their products) will be Trade Prices, if you want to see the 'End-User' prices that will actually appear on the finished Idea Sheet that your Customer sees then you need to click the 'View or Download it' link at the bottom of the page.

This link can be used at any time by you; you just need to scroll to the bottom of the page and click the 'View or Download it' link.

Idea Sheets are presented as HTML emails and .PDF documents, a copy will be sent to the email address that has been added to the completed form and also a copy will be sent to you for your reference… a copy will also be stored for you to refer back to or to use again for another Customer.

What are 'My Quote Sheets'?

This section contains all the saved Quote Sheets that you create.

The last Quote Sheet is at the top.

From here you are able to View the products of each Quote Sheet, Email the Quote Sheet and delete the Quote Sheet.

To create a Quote Sheet you must first search for products then you must click and drag the products that you would like to send into the Quote Sheet Basket (or you can click on the actual product then click on the Add to Quote Sheet button).

Once all products have been added into the basket then you click the 'Complete Now' button below the basket. You will then be given the option to Add the products selected into an existing Quote Sheet or to create a new one. Please then name this (adding a description below is optional).

You then click the 'Save Quote Sheet' button.

The Quote Sheet will then appear at the top of the list of Quote Sheets.

To send this to you Customer, click Email Quote Sheet and complete the Recipients details and follow up date. At this point all product information can be edited too (the Save Changes button must be clicked on after each product is edited), the percentage mark-up can also be controlled for each product. All pricing information (only appears if the Supplier has added prices to their products) will be Trade Prices, if you want to see the End-User prices that will actually appear on the finished Quote Sheet then they must click the 'View or Download it' link (at the bottom of the page).

This link can be used at any time, you just need to scroll to the bottom of the page and click the 'View or Download it' link.

Quote Sheets are presented as HTML emails and .PDF documents, a copy will be sent to the email address that you have added to the completed form and also a copy will be sent to you for your records… a copy will also be stored for you to refer back to or to use again for another Customer.

What are 'My E-Catalogues'?

This section contains all the saved E-Catalogues (electronic page turning catalogues) that you have created.

The last E-Catalogue is at the top.

From here you are able to View the products of each E-Catalogue, email the E-Catalogue and delete the E-Catalogue.

To create an E-Catalogue you must first search for products then click and drag the products that you would like to send into the E-Catalogue Basket (or you can click on the actual product then click on the Add to E-Catalogue button).

Once all products have been added into the basket then click the 'Complete Now' button below the basket. You will then be given the option to add the products selected into an existing E-Catalogue or to create a new one. You must name this (adding a description below is optional).

The User then clicks the 'Save E-Catalogue' button.

Your E-Catalogue will then appear at the top of the list of E-Catalogues.

To send this to your Customer, click 'Email E-Catalogue' and add the recipients logo, complete the Recipients details and follow up date.

To view a preview of the E-Catalogue click the 'Preview Email' button at the bottom of the page at any time. This will open up the email that your client will receive with the link to the E-Catalogue included (when the email is received by your client the URL at the top of the page that the E-Catalogue opens in will be disguised so your Customer will not see the SourcingMachine URL).

What are 'My E-Flyers'?

E-Flyers can be created and sent direct to your Customers.

This section contains all the saved E-Flyers that you will have created.

The latest E-Flyer is at the top.

From here you are able to View the products of each E-Flyer, Email the E-Flyer and delete the E-Flyer.

To create an E-Flyer you must first search for products then you must click and drag the products that you would like to send into the E-Flyer Basket (or you can click on the actual product then click on the 'Add to E-Flyer' button).

Once all products have been added into the basket then you click the 'Complete Now' button below the basket. You will then be given the option to add the products selected into an existing E-Flyer or to create a new one. You must now name this (adding a description below is optional).

Please now click the 'Save E-Flyer' button.

The E-Flyer will then appear at the top of the list of E-Flyers.

To send this to your Customer, click Email E-Flyer and add the email addresses of the recipients of the E-Flyer, you can add as many email addresses as you like.

Now design the E-Flyer by choosing the colours, the template and the text that will appear on the top and bottom of the E-Flyer.

Finally choose and edit the products that you want to send to the recipients.

Click Preview Email at any time to view your E-Flyer.

Click Send E-Flyer when you are happy with your E-Flyer and it will go out to all the email addresses that you have added.

What is 'My Own Website'?

Create your own company website using our complete product database with 'WebBuilder'.

If it is the first time that you have clicked on the 'My Own Website' link then SourcingMachine will ask you to create a unique URL; this will be our promo-genie URL + your chosen extension which you can then direct your company's Domain Name to. Once this has been saved then all you need to do to gain access to your WebBuilder for the first time is to type in your existing SourcingMachine log-in details, accept the Terms & Conditions and then click log-in.

Once this URL has been created it will appear at the top right hand side of your WebBuilder 'Control Panel'.

WebBuilders put you completely in control of your company website. In order to get you started SourcingMachine offer an artwork package. We will create your Header Artwork, your FLASH Banner artwork ,up to 6 link buttons and theme stylisation.

There are 4 types of WebBuilder, each one adds functionality to your WebBuilder website.

WebBuilder BASIC (the most basic version on offer).

Upgrade To Basic + Domain This upgrade option is half-way between Basic and PLUS. You will not get the added SEO features or functionality of PLUS but you can use your own URL for the Basic version of the WebBuilder.

WebBuilder PLUS gives you the tools to fully search engine optimise your Company website and includes unique URLS across the whole of their site, your site will also have a site map added to it that is thousands of pages in size which will be submitted to the Search Engines for you.
